Terms & Conditions

By paying the advance amount, the client acknowledges and agrees to all the terms and conditions mentioned below.

The booking will be confirmed only upon payment of the agreed advance amount.
All payments must be made as per the agreed payment schedule.
Final deliverables will be processed only after clearance of all pending payments.
No payment shall be withheld due to delays in selection, creative preferences, or delivery-related concerns.

The advance/payment made for booking confirmation is strictly non-refundable under any circumstances.
In case of cancellation by the client, the booking amount will not be refunded.
If the event is postponed and the new dates are available, the advance amount may be adjusted to the rescheduled date.
If postponement occurs within a short notice period or the new dates are unavailable, ARK Media Productions reserves the right to treat the booking as cancelled.
In case of cancellation after blocking the dates and resources, up to 20% of the total package amount may be chargeable depending on the stage of project planning and preparation.

Travel, food, and accommodation for the photography team at the wedding venue shall be arranged by the client.
If arrangements are not provided directly, the respective expenses incurred by the team will be billed separately.
Supporting bills/invoices for such expenses will be shared after the wedding event.

The selected package includes edited digital photographs and final edited videos as agreed in the quotation/package.
Only the deliverables specifically mentioned in the selected package shall be provided.

Timely cooperation from the client and family members is essential to achieve the best possible output.
Clients are requested to inform the team in advance regarding important rituals, performances, surprises, special guests, or planned moments to avoid missing coverage.
The client is requested to allocate sufficient time for couple portraits, bridal/groom makeover shots, cinematic sequences, and planned creative sessions. A minimum buffer time of approximately 30 minutes is recommended wherever possible.
The overall output may vary depending on venue lighting, stage setup, crowd management, event schedule, weather conditions, and overall cooperation during the event.
During on-stage sessions, excessive crowd gathering around the couple may affect visibility and overall output quality. Proper coordination and stage management help the team capture better photographs and videos.
Delays in communication, approvals, selections, or responses from the client may proportionally delay the final delivery timeline.

The agreed package includes a flexible grace coverage of up to 1 hour beyond the scheduled event timing.
Coverage extending beyond the grace period will be charged at ₹3,000 per team member per additional hour.
Overtime charges must be cleared before final delivery of outputs.

The final edited video will be delivered within 45–60 working days from the respective event date, subject to payment clearance.
Any delay in payments, photo selection, approvals, or response from the client may proportionally delay the delivery timeline.

The full-length video duration will be as per the agreed package.
Clients may provide preferred songs/music references for the edit.
In the absence of music preferences, ARK Media Productions reserves the right to select suitable music/instrumentals for the final edit.

One round of revision/change request is permitted after sharing the final draft/cut.
Clients must communicate all required changes within 72 hours of receiving the draft/design preview.
If no response is received within the specified timeframe, the edit/design will be considered approved and finalized for delivery.

Digital photo selection copies will be shared through Playbook or via hard drive.
Clients may select photos either through the provided gallery link or by sharing file numbers (Example: ARK00345).
For a 40-sheet album, clients may select up to 130 photos.
For a 20-sheet album, clients may select approximately 60–80 photos.
Photo selection must be completed within 10–15 days from receiving the gallery link.

The digital album design preview will be shared within 10–15 working days after receiving the final photo selections.
Additional album sheets beyond the agreed count will be charged at ₹500 per sheet.
Once the design is approved, the final printed album will be delivered within 15–20 working days.

All edited photos and videos will be delivered through cloud storage access.
Cloud storage access will remain active for 6 months from the wedding/event date.
Clients are requested to download and back up all data within the specified period.
Data may be permanently removed from cloud storage after the expiry period without prior notice.
Clients are requested to complete approvals, selections, and data collection within the requested timelines to ensure smooth completion of post-production.

RAW/unedited data will not be shared before completion of post-production and delivery of all committed outputs.
RAW data, if requested, can only be provided after completion of all deliverables and clearance of full payment.
Sharing of RAW data is solely at the discretion of ARK Media Productions unless explicitly included in the package.

If clients require delivery in a physical hard drive, they may either:
- Provide their own hard drive, or
- Request ARK Media Productions to purchase a new hard drive at additional cost.
In cases where a new hard drive is requested, it must be delivered to our office address before data transfer.

The client acknowledges and accepts the shooting, editing, color grading, retouching, album design, music selection, and overall creative style of ARK Media Productions.
All creative decisions regarding the final output shall remain under the artistic discretion of ARK Media Productions.
The final deliverables will reflect the company’s signature editing and storytelling style.

ARK Media Productions reserves the right to use selected photographs and videos from the event for portfolio display, social media promotions, website showcase, advertisements, competitions, publications, and award submissions.
If the client prefers complete privacy and does not wish any content from the event to be published or showcased publicly, the package pricing will be increased by 15% due to portfolio usage restrictions.
Privacy-related requests must be communicated and confirmed before booking confirmation.

Drone coverage is subject to weather conditions, venue permissions, local government regulations, technical limitations, and no-fly zone restrictions.
ARK Media Productions shall not be held responsible if drone coverage cannot be operated due to restrictions or unforeseen circumstances beyond control.

ARK Media Productions maintains multiple backup systems and follows professional data handling practices to ensure data safety.
However, in rare and unforeseen situations such as equipment malfunction, storage failure, accidental corruption, natural disasters, or technical issues beyond control, liability shall be limited to the amount paid by the client for the respective services.
